Leavo ("we", "us") is a trading name of Techficient Solutions Ltd, a company registered in England and Wales. We provide holiday and sickness tracking software for UK small businesses. This page explains what personal data we process and why. It is written for office managers, not lawyers.

Who is the controller?

When you sign up and create an organisation, your organisation is the data controller for the personal data you enter about your employees. Leavo is the data processor acting on your instructions.

What we collect

• Names, work email addresses, department and start date.
• Holiday allowance, holiday requests, approvals and comments.
• Sickness absence dates, return-to-work notes, and any documents your admins upload.
• Audit-log entries: who did what and when, so admins can answer employee queries.

Special-category data (health)

Sickness absence is health data under UK GDPR. We restrict it to the individual, their assigned approver, and your organisation's admins. On the shared team calendar, sickness is shown as "Absent" without names or reasons.

How long we keep it

We keep sickness records for a minimum of 3 years (statutory sick pay rules). Other data is kept for the life of your Leavo subscription. When your admin requests organisation deletion we remove it within 30 days, except where the law requires us to keep it longer.

Who we share it with

We do not sell your data. We share it only with the infrastructure providers we use to run the service (hosting, database, email). We do not transfer it outside the UK/EEA without a lawful safeguard.

Your rights

Employees can ask their admin for a copy or deletion of their data. Admins can export the whole organisation's data as CSV, and request full deletion from the Settings page.
